THE CEDAR BAR CO. — POLICIES
Booking & Payments
A non-refundable 40% deposit is required to secure your event date.
Your booking is not confirmed until the deposit is received.
The remaining balance is due 48 hours before the event unless otherwise agreed upon in writing.
We accept the following forms of payment:
Square Invoice • Square Payment Link • Apple Pay • Venmo Business (optional)
All invoices will be sent through Square for a secure, professional checkout experience.
Travel & Location
Travel within 20 miles of Tulsa is included.
Events beyond this radius incur a $1 per mile (round-trip) travel fee.
Events more than 50 miles away may require an additional extended service or travel charge depending on setup time and staffing needs.
The client is responsible for ensuring:
Safe, accessible working conditions
Adequate lighting
A clean setup area
Parking for unloading and loading
Setup & Breakdown
Our team arrives 45–60 minutes before service time for setup.
Breakdown requires 30–45 minutes after service ends.
If venue access is delayed (locked gates, late entry, blocked load-in), setup time may be affected.
Alcohol Policy
The Cedar Bar Co. does not provide or sell alcohol.
All alcohol must be supplied by the client, as required under Oklahoma law.
We follow responsible service guidelines:
We will not serve guests under 21
We will not serve visibly intoxicated guests
We may slow or stop service if unsafe conditions occur
We reserve the right to discontinue alcohol service if necessary to ensure safety and compliance.
Client Responsibilities
Clients agree to provide:
Alcohol for the event
Mixers, ice, and garnishes (unless otherwise arranged)
Cups, napkins, and straws (unless included in your package)
A functional bar area or space for our portable bar
Shelter for outdoor events (tents required for rain or extreme heat)
Overtime
If your event runs longer than the contracted hours, overtime is billed at:
$50 per hour, per bartender
Overtime must be approved by the client during the event.
Cancellations & Rescheduling
Deposits are non-refundable under all circumstances.
Cancellations within 7 days of the event may still require full payment due to staffing and scheduling commitments.
Events may be rescheduled one time—at least 14 days in advance—based on availability.
Liability
The Cedar Bar Co. is insured and follows all responsible service practices.
However, we are not liable for:
Guest misconduct
Broken glassware
Damage caused by intoxicated guests
Venue/property damages unrelated to our direct actions
The client assumes responsibility for their guests and event environment.
Photo & Media Release
We may capture or share photos/videos of the bar setup and service for marketing and portfolio use.
Clients may opt out by notifying us in writing before the event date.
Weather (Outdoor Events)
For outdoor events, clients must provide adequate cover (tent, shade, shelter).
If severe weather makes service unsafe, The Cedar Bar Co. may adjust or discontinue service as needed.
